Remote Office Manager – Plumbing & Heating (Housecall Pro)

About the role

Offshore Launch is a business and growth operations firm that designs, builds, and staffs operations for home service owners. This role provides the administrative backbone for a family-owned plumbing and heating company running on Housecall Pro and Gusto, handling bookings, payroll, permits, and related operations to keep owners in the field.

What you'll do

• Own call handling and booking including inbound calls, leads, and scheduling on first contact
• Manage the Housecall Pro schedule and handle reschedules and job updates
• Invoice jobs, collect payments, and run AR follow-up through to collections
• Process payroll and onboarding/offboarding in Gusto, including I-9s and related paperwork
• Log estimates, track licenses and permits, and coordinate COIs and equipment bookings
• Monitor the general inbox and deliver weekly office reports

What they're looking for

• 2+ years in office management, dispatch, or operations coordination in plumbing, HVAC, or field services
• Working knowledge of Housecall Pro or similar FSM platforms (ServiceTitan, Jobber)
• Strong phone presence with excellent written and verbal English
• Ability to own tasks from start to finish with minimal supervision
• Organized, detail-oriented, and capable of documenting processes
• Nice to have: payroll/HR platform experience and permits or AR collections experience
