Remote Office Manager – Plumbing & Heating (Housecall Pro)

About the role

Offshore Launch helps home service owners scale operations with clear processes, technology, and data. This role is the administrative backbone for a family-owned plumbing and heating company using Housecall Pro and Gusto, handling scheduling, invoicing, payroll, permits, and daily operations.

What you'll do

• Own call handling, scheduling, and routing of unusual calls to the owner
• Manage Housecall Pro schedule, invoices, payments, and AR follow-up
• Handle payroll and onboarding/offboarding in Gusto, including I-9s
• Log estimates, track permits, COIs, licenses, and oversee equipment bookings
• Monitor the office inbox and deliver weekly reports
• Document recurring tasks as SOPs and maintain accurate system setup

What they're looking for

• 2+ years in office management, dispatch, or operations coordination in field services
• Working knowledge of Housecall Pro or similar FSM platforms (ServiceTitan, Jobber)
• Strong phone presence with excellent written and verbal English
• Ability to own work from start to finish with minimal supervision
• Organized, detail-oriented, and capable of documenting processes
• Nice to have: direct plumbing or heating experience, payroll HR tools (Gusto), permits/AR collections
