What you'll do

• Own day to day office operations including call center performance, follow up, scheduling and dispatch, cash collection, compliance, and administrative workflows.
• Oversee customer service and scheduling/dispatch performance without owner intervention.
• Track project timelines from booking through invoicing and flag at risk jobs; monitor margins at a summary level.
• Coordinate subcontractors for permits, material orders, inspections and related activities as needed.
• Maintain accurate records in HouseCall Pro or a comparable CRM/FSM (ServiceTitan, Jobber).
• Support hiring, onboarding and people management for office and field teams as the team grows.

What they're looking for

• 2+ years in project management, office management, or operations coordination, ideally in trades, HVAC, or field services.
• Working knowledge of HouseCall Pro or a comparable FSM/scheduling platform (ServiceTitan, Jobber).
• Excellent written and verbal English communication and ability to manage multiple workstreams with minimal oversight.
• Demonstrated ability to follow through independently and stay organized with limited supervision.
• Nice to have: direct plumbing or HVAC industry experience, basic job costing or P and L familiarity, and prior experience managing a small remote or hybrid team.
